Administrative Assistant Location: Oakland, CA Schedule: 8-hour workday with every other Friday off Position Summary This role supports department operations by relieving leadership of routine administrative tasks, analyzing data, preparing reports, and maintaining confidential records within a public-sector environment. ResponsibilitiesProvide day-to-day administrative and clerical support to executive or management staffReceive, greet, and screen visitors and incoming phone calls; route inquiries appropriatelyConduct special studies and prepare administrative, analytical, and operational reportsDraft, type, and compose correspondence, reports, and procedural documentationCommunicate information related to established programs, policies, and proceduresAssist department leadership with administrative problem-solving and procedural mattersAnalyze programs, workflows, and operating procedures; support the implementation of new processesIndependently review and analyze data and prepare supporting materials and recommendationsAssist with budget preparation and administrative tracking activitiesMonitor attendance records and support payroll-related processes, including industrial claimsMaintain confidential, operational, and administrative files in compliance with record-retention standardsQualificationsHigh school diploma and completion of general education from an accredited college or universityMinimum of 2 years of professional experience providing administrative support to management or executive staff, including data analysis and report preparationEquivalent combinations of education, training, and experience may be consideredBilingual skills in American Sign Language (ASL), Spanish, Mandarin, Cantonese, or Vietnamese are desirablePublic administration principles and practices, including basic personnel and fiscal managementOffice management methods and fundamental accounting practicesAdministrative procedures, survey techniques, and research methodologiesAnalyze organizational and operational issues and apply sound judgmentWork independently with minimal supervisionCommunicate effectively in both written and verbal formats, including audio/visual communication where applicableType a minimum of 55 words per minute (word-processing experience strongly preferred)Handle sensitive and confidential information with discretion and professionalismBenefit offerings include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and 401K plan.
