Duties & Responsibilities Salary Input Process and verify all employee salary information Ensure accuracy by confirming details with the Financial Manager Submit signed documentation in line with NGI procedures Maintain proper authorization at all times Payslips & Costing Reports Distribute payslips to business units timeously Verify bank ACB reports against gross-to-net payroll figures Reconciliation Reconcile Salary Control Accounts (including advances) accurately Update bonus and leave provisions in line with company policy Submit updates to relevant stakeholders timeously New Staff Onboarding Ensure all onboarding documentation is complete and accurate Assist new employees with MIBCO, NGI, and benefit-related forms (e.g. Discovery) Coordinate with relevant stakeholders for seamless onboarding Employee Leave Management Verify leave schedules against Salary Centre data Communicate accrued leave balances to employees Process and submit sick leave claims to MISA / MIBCO accurately Terminations Process all termination documentation accurately and within deadlines COIDA Compliance Manage injury-on-duty and disability claims Ensure submissions comply with relevant legislation MERSETA Reporting Capture training records on VIP system timeously Maintain proper records and proof of training Personnel Files Ensure all personnel files are updated according to audit requirements Leave Reconciliation Perform monthly leave reconciliations Ensure all leave (including IOD leave) is accurately recorded Over/Under Payments Identify payroll discrepancies Escalate issues to the Financial Manager immediately Overtime Monitoring Report overtime exceeding the legal limit (40 hours) to the Financial Manager Key Attributes Self-motivated and deadline-driven Strong attention to detail and accuracy Desired Experience & Qualification Relevant qualification in Payroll / HR / Finance Minimum 3–5 years’ experience in payroll or HR administration Experience working on VIP Payroll system (essential) Strong knowledge of South African payroll legislation (COIDA, MIBCO, etc.) High level of accuracy and attention to detail Strong organisational and time management skills Valid driver’s license and willingness to travel between sites
