Job Title: Office Clerk / Administrative Coordinator Job Summary We are seeking a highly organised and detail-oriented Office Clerk to support daily administrative operations. The successful candidate will be responsible for managing communication, coordinating financial documentation, maintaining compliance records, and supporting staff administration to ensure the smooth running of the business. Key Responsibilities 1. Email & Communication Management Monitor and manage the company email inbox daily Respond to general enquiries or direct them to the relevant departments Maintain organised email filing systems Ensure timely communication with clients, suppliers, and internal teams 2. Invoicing & Financial Coordination Prepare and issue invoices and proforma invoices Generate and distribute customer statements Follow up on outstanding payments where required Capture and reconcile transactions using Sage and Xero Coordinate with the accounts department or external accountants Ensure all financial documentation is accurate and up to date 3. Payroll Administration Collect and compile staff wage information Submit wages and relevant payroll data to external accountants Maintain accurate payroll records and filing systems Assist with payroll-related queries when necessary 4. Compliance & Documentation Maintain and update labour inspection files and documents Ensure all health and safety files are current and compliant with regulations Organise and file important company records (digital and physical) Prepare documentation for audits or inspections 5. Staff Administration & Relations Record and track employee leave (annual, sick, etc.) Maintain up-to-date staff records Assist with basic staff relations and communication Support management with HR-related administrative tasks Key Skills & Requirements Strong organisational and administrative skills High attention to detail and accuracy Ability to multitask and prioritise workload Good written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) Experience working with Sage and Xero (essential) Experience with Shopify (advantageous/bonus) Basic understanding of labour laws and health & safety compliance (preferred) Qualifications & Experience Previous experience in an administrative or clerical role Matric (Grade 12) required Experience in bookkeeping, accounts administration, or similar role preferred Additional admin, bookkeeping, or HR qualifications are advantageous Personal Attributes Reliable and trustworthy Proactive and self-motivated Professional and approachable Ability to handle confidential information with discretion Job Type: Permanent Pay: R14 000,00 - R18 000,00 per month Work Location: In person
